1. Read with a highlighter in your hand. Highlight any actions required (due dates, appointments, etc) or other important information as you read your mail.
2. Handle each piece of paper on your desk only once. Once you pick it up - decide to file, throw it away, pass it on, etc.
3. Keep a file of 'quick' tasks - catalogs to review, short articles to read, forms to sign - and take care of them while you wait for something to print or a meeting to begin.
4. Purge files annually, keeping only what you'll need.
5. Try to respond to every paper in your in-box within 24 hours.
